UMASA Executive Elections
At the end of every school year UMASA needs to elect a new Executive. There are six different positions, four of them are open to Undergraduate or Graduate Students, while one (Graduate Vice-President) is open only to a Graduate student, and the other (Undergraduate Vice-President) is open only to a Undergraduate Student. UMASA requires students to volunteer their time in order for the Student Group to run properly. Without an Executive we would be without the colloquiums series and we would not be able to host any of the social events.
The positions that need to be filled at the end of every school year are as follows:
1. President: This can be a graduate or an undergraduate student. UMASA also allows two students to run as co-presidents.Your job is to oversee the everyday workings of UMASA, as well to work in conjunction with the Anthropology Department to help with the Colloquium Series and the Professional Development Series. You also run the UMASA General Meetings
2. Graduate Vice-President: This position must be filled by a Graduate Student.
The Graduate VP is a UMASA executive position held by a graduate Student and contains three responsibilities.
1.)The foremost responsibility is to be a liaison between UMASA and the Graduate Students Association (GSA). You are expected to attend the monthly GSA meetings and vote on matters regarding student life at the University of Manitoba. In addition you will report back to UMASA on events, decisions, funding, etc, relating to the GSA.
2.)The other responsibility is to join at least one GSA sub-committee, meeting once a month, that further addresses issues of studentship. Joining sub-committees will provide extra funding for UMASA via the GSA.
3.) Attend all UMASA Executive and General Meetings
3.Undergraduate Vice-President: This position must be filled by un Undergraduate Student.
1.) Attend all Executive Meetings as well as General Meetings
2.) Act as a liaison between UMASA and UMSU, this includes going to the SGEC (Student Group Executive Committee) Meetings, usually held once a month and reporting back to UMASA what is going in within the university. This schedule is usually posted online on the UMSU website.
3.) Filling out and handing in the Student Group Renewal forms, that are usually due at the end of September. You need to provide the executive’s names, emails, as well as a sample of the constitution, as well you need to hand in a list of the group members, names, student numbers etc. Ask a UMSU representative (VP Student Services) or visit the UMSU website to find out more.
4.) Student Recruitment – Organizing classroom talks, usually the first week of class to tell new students about UMASA, what it is (PD series, social events, Colloquiums, etc.) It is best to bring a white board marker to write down the website and emails and any other relevant information. (As well, you must email the professors before you go to the classroom so they have a heads up, and to ask permission.)
5.) Student Recruitment Week – Tables are set up during this week on the 1st floor University Center during mid-September as well as mid-January. You fill out a form that will be emailed to all student groups requesting dates/times. For this table it is best to bring the UMASA banner (pdf) so people know what your table is for. Additional to this we put out a small thing of candies or buttons/pins to attract people. I print out a small piece of paper that has UMASA contact info and attach it to the pins/candy so that people walk away with our information. As well at the table we usually bring in items such as the masks from the Common Room in Duff Roblin as well as skulls/flakes from the lab. Also bring a sign up sheet (name/student id/email) for students who wish to join. Other ideas for the table is to make a diorama or poster, bring brochures or anything else that will bring people into anthro. You can also send an email requesting people to help you sit at the table with/for you/
4. Treasurer: This position can be filled by a Graduate or Undergraduate Student.
1) Keep up to date records relating to all incoming and outgoing funds related to UMASA (i.e. bank statements, reciept for spenditures, deposit stubs)
2) Keep float at correct dollar amount for fundraidsing events and making sure there is enough change (approx 200-250$)
3) Accept member dues
4) Help to plan a workable budget for the year - based on how much was raised, how much was spent on events, usually based on the last years budget
5) Provide a report to the GSA at end of term based on income from cheque provided and spenditures on graduate events
6) Keep other members apprised of how much is available/raised
7) Attend all UMASA Executive and General Meetings.
5.Communications Director: This position can be filled by a Graduate or Undergraduate Student. While the following list of duties may appear to be a lot of work, it really only take a couple hours a week to keep everything updated.
1) Attend all UMASA Executive and General Meetings
2) Keep the UMASA Website updated with all relevant information.
3) Keep the UMASA Facebook Page updated with all relevant information.
4) Keep Track of the Membership list. Add new members and delete old ones as needed. This applies to the email contact lists as well.
5) Send out emails to all UMASA Members on behalf of the different Executive Members and Committees
6) Send out emails to professors or the department of anthropology on behalf of UMASA when needed.
7) Take Minutes at the Executive and General Meetings.
8) Advertise the Colloquium's, PD Series, Social Events and General Meetings on the different Bulletin Boards. This may also include making the posters for the events.
6.Social & Fundraising Director: This position can be filled by a Graduate or Undergraduate Student. They are responsible for putting together social events for the members of UMASA. They can be an academic event, anthropological in nature, or just an event to get together.
7. Community Liason: This position can be filled by a Graduate or Undergraduate Student. They are responsible for maintaining and initiating contact with other student groups, schools, and other student related communities.
